JOB SUMMARY:
This role serves as the central point of contact between jobsite personnel, the internal freight coordinator, Project Management, Sales, Production, and Accounting, ensuring deliveries are scheduled accurately, documented properly, and completed on time.
The position manages delivery schedules based on production status, structure readiness, jobsite requirements, and transportation availability. It also maintains shipping documentation (BOLs, PODs, and delivery confirmations), supports the order-to-invoice process by confirming when projects have shipped complete, and helps resolve delivery issues such as delays, missing structures, incorrect quantities, or damaged material. The Delivery Coordinator keeps organized delivery records and provides reliable status updates and reports to management and cross-functional teams.
This is an entry-to-mid-level role with a defined growth path. It offers hands-on exposure to project scheduling, jobsite coordination, stakeholder communication, and issue resolution, which are the core skills of a Project Manager. Employees who demonstrate strong ownership, accuracy, and communication may be considered for advancement into a Project Manager role as opportunities arise.
Key Responsibilities:
- Coordinate delivery requirements with jobsite personnel and the internal freight coordinator, including delivery dates, number of trucks per day, receiving hours, site restrictions, and required notifications.
- Coordinate and maintain delivery schedules based on production status, structure readiness, jobsite requirements, and transportation availability.

- Manage shipping documentation, including BOLs, PODs, delivery confirmations, and other documentation required for receiving and invoicing.
- Coordinate with Accounting to confirm when structures/projects have shipped complete and are ready for invoicing and follow up on outstanding PODs.
- Communicate delivery status and changes with jobsites, Project Management, Sales, Production, Accounting, and freight coordination, including delays, schedule changes, and delivery issues.
- Identify and assist in resolving delivery issues, including missed or delayed deliveries, jobsite receiving limitations, missing structures, incorrect quantities, damaged material, or other discrepancies.
